PRE EVENT PLANNING
1. Location / Site Plan: When setting up your event, remember to allow for at least 2 power points (within 20 metres) of the screen location. Allow space for a welcome / sign in table, stalls/marquees and food stalls (Sausage Sizzle, Drinks, Popcorn).
2. Movie Choice / License: There are two companies that provide movie licensing. For most schools, they are showing a free event for the school community usually approximately 100 people. The model keeps the license fee affordable. Amalgamated usually charge $100 - $300 and Village Roadshow between $300 - $500 for the movie license. Your movie license needs to be organised directly with the provider.

3. Sponsorship: The quickest way to generate funds from the event is to ask for event sponsorship. An example letter is provided for you to download here:
4. Promotion: Set up an event on Facebook and share this widely with the school and local community. Invite organisations who support the school to share the event and include the event in internal school communications.
5. Fundraising: In addition to this, provide an opportunity to be a stall holder (charge at least $25 for non - food stalls and at least $50 for food stalls - remember it is a fundraiser). Often the Coffee Van will offer $1 per cup to the school, and this usually works out fairly. Gold Coin Entry, Raffles, Flashing Toys and Side Shows all provide good fundraising ideas.
POPCORN MACHINE HIRE
In terms of Popcorn, we will supply machine on a table along with cups, popcorn, oil and flavouring for 50 serves. We will also take additional stock for another 100 serves (just in case you need it). The cost of additional serves above the standard 50 is $25 per 25 Serves. We recommend charging $3 per serve ($2 per refill). So for example, if you sell 100 serves, we will invoice you an additional $50 after the event.
